Personal Information

When you register for Kineo, we collect the following personal information:

• Name and email address
• Phone number (optional, for coordination)
• Tennis skill level and playing preferences
• Location (city/region for relevant content)
• Profile information and coaching goals
• Match results, session history, and training statistics

Video and Biometric Data

Kineo's core feature involves recording and analysing your tennis technique. When you use our video analysis features, we collect:

• Video recordings of your tennis sessions that you upload or capture in-app
• Pose estimation data and body keypoint coordinates derived from your videos
• Stroke mechanics, movement patterns, and technique metrics extracted by our AI models
• Court detection data and ball tracking information where available
• Session timestamps, drill types, and coaching feedback history

Video data is processed to generate technique analysis only. We do not use your video recordings for facial recognition or identity verification purposes.

Device and Usage Information

• Device identifiers and push notification tokens
• IP address and browser information
• App usage patterns and preferences
• Camera and microphone access (only when you initiate a recording session)

How Video Analysis Works

When you record or upload a video through Kineo, it is processed by our AI pipeline which uses computer vision models to detect your body position, stroke mechanics, and movement patterns. This produces a structured analysis report and personalised coaching recommendations.

Video Storage and Retention

• Videos you upload are stored securely in Firebase Cloud Storage under your account
• Derived analysis data (keypoints, metrics, feedback) is stored in our database linked to your profile
• You can delete individual recordings or your entire analysis history at any time from your profile settings
• We do not share your video recordings with other users or third parties without your explicit consent
• Raw video files are retained for 90 days after upload; derived analysis data is retained for the lifetime of your account

AI Model Training

We may use anonymised, aggregated technique data to improve our AI coaching models. Individual videos are never used for model training without your explicit opt-in consent. You can manage this preference in your account settings under Privacy & Data.

Camera and Microphone Permissions

The Kineo app requests access to your device camera and microphone solely for the purpose of recording tennis sessions at your direction. These permissions are never used passively or in the background. You can revoke these permissions at any time through your device settings, though this will disable in-app recording functionality.

How Coach Mode Works

Coaches can create student profiles within Kineo to record, analyse, and track the technique of players they train. When a session is submitted on behalf of a student profile, the resulting video and analysis data are held under the coach's account.

Video Access Window

• Coaches can review student session videos for up to 12 hours after AI analysis completes
• After 12 hours, video playback is disabled; scores, grades, and coaching notes remain permanently accessible
• Coaches cannot download student session videos
• Once a student links their own Kineo account, they gain standard 5-day video access under their own privacy controls

Coach Responsibilities

By creating a student profile and recording sessions, coaches confirm that:

• They have obtained appropriate consent from the student (or a parent/guardian for minors) to record and AI-analyse their footage
• They will use the data solely to support the student's tennis development
• They will not share session data, scores, or video with unauthorised third parties

Student Account Linking

Coaches may invite a student to link their own Kineo account to a student profile. Upon linking, the student gains visibility over their own sessions and retains independent data rights including the ability to delete their session history. The coach's access does not extend to sessions the student submits independently after linking.

Notification Types

We may send you the following types of notifications:

• Match Notifications: New match assignments, schedule changes, result confirmations
• Ladder Updates: Ranking changes, new ladder openings, season updates
• Communication Alerts: Messages from other players, contact requests
• Reminders: Upcoming matches, overdue score submissions
• System Announcements: Maintenance, new features, policy updates

Notification Preferences

You can control your notification preferences at any time through:

• Your account settings in the app
• Device notification settings
• Email preferences in your profile
• Unsubscribe links in our emails

Third-Party Notification Services

We use OneSignal and other trusted third-party services to deliver push notifications. These services may collect device tokens and delivery analytics to ensure reliable notification delivery. Your notification preferences and data are protected under their respective privacy policies.

With Other Players

We share limited information with other players for match coordination:

• Name and skill level
• Contact information (if you choose to share)
• Match availability and preferences
• Public match results and statistics

Service Providers

We work with trusted third-party service providers who help us operate our service:

• OneSignal (push notifications)
• Firebase / Google Cloud (video storage, database, app distribution)
• Cloud hosting and infrastructure providers
• Email delivery services
• Analytics and monitoring tools

Legal Requirements

We may disclose your information if required by law, court order, or to protect our rights, safety, or the safety of others.

Account Creation

• You must provide accurate and complete information
• You are responsible for maintaining account security
• One account per person is permitted
• You must be at least 13 years old to create an account

Acceptable Use

You agree to:

• Use the service for legitimate tennis activities only
• Treat other players with respect and sportsmanship
• Report match results accurately and promptly
• Respect other players' privacy and contact preferences
• Comply with all applicable laws and regulations

Consent for Recorded Individuals

You are solely responsible for ensuring that all individuals who appear in videos you upload to Kineo have given their informed consent to be recorded and for their image to be processed by our AI systems. You must not upload videos of minors without verified parental or guardian consent.

Appropriate Use of Analysis

You agree to:

• Use AI coaching feedback as guidance only — not as a substitute for qualified medical or professional sports advice
• Upload only genuine tennis recordings intended for personal coaching purposes
• Not attempt to manipulate, reverse-engineer, or misuse the AI analysis systems
• Not upload content that is offensive, illegal, or violates another person's privacy

Consent Obligations

Coaches who use Coach Mode agree to the following obligations:

• Obtain informed consent from each student before recording or uploading their footage
• For students under 18, obtain verified consent from a parent or legal guardian prior to any recording
• Inform students that their footage will be processed by Kineo's AI systems to generate technique analysis
• Retain evidence of consent and provide it to Kineo upon request

Permitted Use of Student Data

• Student session data may only be used to provide coaching feedback and track the student's development
• Coaches may not use student analysis data for commercial purposes, research, or publication without explicit written consent from the student or their guardian
• Coaches may not share student scores, grades, or session videos with third parties without the student's consent

Data Responsibility

Coaches act as independent data controllers for student profiles they create. Kineo provides the platform and processing infrastructure but does not determine the purpose or means of data collection for coach-submitted sessions. Coaches are solely responsible for compliance with applicable data protection laws, including GDPR where applicable, in connection with student data.

Service Communications

By using our service, you consent to receive communications from us, including:

• Push notifications about matches and ladder activities
• Email notifications for important updates
• SMS messages (if you provide your phone number)
• In-app messages and announcements

Player-to-Player Communication

Our platform may facilitate communication between players. You understand that:

• We are not responsible for the content of player communications
• You should use good judgment when sharing personal information
• Inappropriate communications should be reported to us
• We may monitor communications to ensure compliance with our terms

Match Coordination

Players are responsible for coordinating their own matches, including scheduling, venue selection, and any associated costs.

Result Reporting

Players must report match results accurately and in a timely manner. Disputes should be resolved between players or reported to ladder administrators.
